FlatOrg ("the app") is a household task management app for co-living flats. This policy explains what data we collect and how we use it.
Data We Collect
- Email address — used to create and authenticate your account, including when you sign in with Google or Apple.
- Display name — shown to other members of your flat.
- User ID — an internal identifier generated by Firebase Authentication.
- Device push token — lets the app send you notifications, such as task reminders.
- App usage data — task assignments, shopping list entries, and issue reports you create within the app, stored in Firestore and visible only to members of your flat.
- Vacation status — whether you are on vacation. Members of your flat see it on your task. If your flat uses fines, a member can mark you as back from vacation once per week. The app then stores the week and the time when this happened, but not who did it. Members of your flat see this record too, so that the app can show that it is locked for the week.
- Fines, freezes and payments — if your flat uses fines: the fines for your tasks that were not done, the freezes you used in the current period, and the payments that you enter or that the treasurer confirms or records. Each fine and payment keeps your name, so the treasurer can read it. You see only your own fines and payments. The treasurer of your flat sees those of all members.
- Treasurer payment details — if you are the treasurer: the account holder name, the IBAN, the TWINT phone number and the flat address that you enter. Members of your flat get these details only while they have an amount to pay, so that they can pay you. When the treasurer role moves to another member, that member's details replace yours.
How We Use Your Data
Your data is used solely to provide app functionality: account management, flat membership, task scheduling, and notifications. We do not sell or rent your data, and we do not use it for advertising.
We use these services to run the app:
- Firebase (Google Cloud) — stores your data, handles sign-in, and delivers push notifications.
- DeepL — translates issue titles and descriptions, only when you use the translate feature. The text is processed under DeepL's privacy policy.
Issue reports you send to your landlord are sent from your own email app and account, not by FlatOrg.
FlatOrg does not move money. You pay fines to the treasurer with your own bank app or TWINT. The app makes a Swiss QR-bill (a PDF) with the treasurer's payment details, the flat address, your name and the amount, so that your bank app can read it.
Data Storage
Data is stored securely using Firebase (Google Cloud), governed by Google's privacy and security practices.
Data Deletion
You can delete your account and its data at any time, in the app (Settings → Delete Account) or by email if you no longer have the app. An admin can also remove members from within the app.
If you leave the flat or delete your account while you still have an amount to pay, your name, your fines and your payments stay visible to the treasurer of your flat. They are deleted when the treasurer confirms or records the last payment.
See how to delete your account for the steps, and for exactly which data is deleted and which is kept.
